Quick Start Guide: Launching Your AI Receptionist
Get your AI Voice Receptionist up and running fast. This guide covers the essential setup areas for a successful launch.
Want to get your AI Voice Receptionist up and running as fast as possible? This guide focuses on the essential setup areas you need to complete for a successful launch.
The Three Core Setup Areas
Everything you need is found in the AI Logic section. Focus on these three areas in order:
- Receptionist (Conversation Logic)
- Offerings
- Business Details
Once these are configured, your AI receptionist will understand your business and know how to handle customer interactions.
Step 1: Configure Your Conversation Logic
The Conversation Logic section is the most important part of your AI Receptionist setup. Here's how it's structured:
Initial Script
This is what your AI says before it knows whether the caller is a new or current customer. Use this phase to:
- Collect universal information (name, address, phone number)
- Deliver your initial greeting
- Determine the customer type with a natural question like: "Are you a current customer?" or "Have we serviced your home before?"
Feel free to add personality and flair to make the question feel conversational.
Customer-Specific Steps
After the customer type is identified, the conversation branches. You can create custom steps for:
- Current customers – Handle support, scheduling, billing inquiries
- New customers – Share information, offer promotions, qualify leads
You can also add example conversations to help train your AI on how interactions should flow.
Step 2: Set Up Your Offerings
The Offerings section tells your AI what your business provides. When adding a new offering, complete the following:
| Field | Purpose |
|---|---|
| Name | What you call this product or service |
| General Description | Overview of what it includes |
| Customer Details to Collect | Any unique information needed for this offering |
| Additional Information | Other relevant details about the product/service |
| Pricing Details | Cost, packages, or pricing structure |
| Appointment Strategy | How bookings should be handled for this offering |
Step 3: Complete Your Business Details
The Business Details section gives your AI essential context about your company:
- Business address
- Service areas
- Default time zone
- Business hours
With this information configured, your AI receptionist will have a strong understanding of your business and how to serve your customers.
Step 4: Connect Your AI Receptionist
Once the logic is set up, head to the Connect section and open the Phone Setup tab.
Getting Your Phone Number
Click to add a phone number for your AI receptionist. A few things to know:
- The phone number is included with your subscription—there's no additional purchase required
- This is your AI receptionist's dedicated line, not a replacement for your main business number
How to Use Your AI Phone Number
You have two options:
- Direct line – Put this number on your website or marketing materials. Callers who dial it will connect directly to your AI receptionist.
- Conditional call forwarding – Route calls from your existing business line to your AI receptionist under certain conditions (after hours, when lines are busy, etc.).
Launch Checklist
Before going live, confirm you've completed:
- Initial greeting configured
- Customer type detection question set
- Conversation steps created for current and new customers
- All offerings added with complete details
- Business address, service areas, and hours entered
- Phone number connected
With these essentials in place, your AI receptionist is ready to start taking calls.
