How to Add Notes to Customer Conversations

Add internal notes to customer conversations in Local Business Pro to track important details and share context with your team.

Notes help you and your team remember important details about customers. You can also make notes available to your AI receptionist to improve future conversations.

Adding a Note

  1. Navigate to Conversations > Inbox
  2. Select the contact you want to add a note for
  3. Click the Notes tab in the right panel
  4. Click Add Note
  5. Write your note in the text field
  6. Toggle Available for AI if you want your AI to know this info
  7. Click Save
  8. The note appears in the Notes section

When to Use AI Visibility

  • Enable for AI - Customer preferences, special requests, important context
  • Keep private - Internal discussions, sensitive information, temporary notes

Q: Can other team members see my notes?
A: Yes, all notes are visible to team members with access to the contact. Notes are internal only and never shown to customers.

Q: How does the AI use notes?
A: When Available for AI is enabled, your AI receptionist can reference the note during future conversations with that customer.
